An apostille for certificates and extracts from the civil registry office, court decisions, notarial documents is confirmation of the legality of the documents issuance by the Ministry of Justice of Ukraine for submission to the institutions of foreign countries.


An apostille is affixed if you plan to submit them for marriage registration with a foreigner, family reunion, inheritance receiving, obtaining a temporary or permanent residence permit abroad, or for study or work.
 

STEPS OF CORRECT PREPARATION OF DOCUMENTS FOR SUBMISSION TO THE HAGUE CONVENTION COUNTRIES:

• Affixing an apostille stamp on the original document.
• Translation of the document (first the apostille and only then the translation, since the apostille is issued in the official language and it also needs to be translated)
• Affixing a second apostille stamp (find out if you need a second apostille here)

IMPORTANT! An apostille on certificates, extracts, decisions or notarial documents is affixed exclusively to the original. Requirements for admitting the certificates and extracts from the civil registry office:

• absence of lamination;
• absence of significant damages of the document;
• absence of other government authorities stamps and seals on the back of the document;
• the document was issued on the territory of Ukraine and not earlier than December, 2015;

Requirements for court decisions admitting:

• the document is bound and sealed by the court that issued the document (if the document consists of more than 1 sheet);
• the document is signed by the chairman of the court or the judge;
• absence of significant damages of the document;
• the judge's signature must match the signature in the register of the Ministry of Justice.

Requirements for notarial documents:

• The notary's signature must match the signature in the register of the Ministry of Justice.

IMPORTANT!! In case of non-compliance with these requirements, the Ministry of Justice may issue a refusal to affix an apostille indicating the reason for the refusal. In this case, you need to obtain the duplicate documents. Payment for refusal for affixing an apostille stamp is not refunded, because of verifying your document by the Ministry of Justice.
